How to set repeating shifts

Define a team member's regular working hours once and let the system automatically generate their schedule — weekly, bi-weekly, or on any rotating cycle up to four weeks.

Instead of adding shifts one day at a time, repeating shifts let you configure a member's full weekly pattern and generate months of shifts in a single save. Set which days they work, what hours, how often the pattern repeats, which location each week applies to, and when it ends.

How to get there

There are two ways to open the sheet:

From the schedule board

  1. 1Navigate to Dashboard → Team → Schedule in your sidebar.
  2. 2Find the team member's row on the schedule grid.
  3. 3Click the ⋯ menu on their row and select Set repeating shifts.

From a shift cell

  1. 1Click an existing shift chip on the schedule board to open the shift menu.
  2. 2Select Set repeating shifts from the dropdown.

What each field means

The left panel controls the repeat schedule settings. The right panel is where you define working hours per week and location.

Repeat every

How many weeks make up one full cycle

Setting this to 1 means the same working hours repeat every single week. Setting it to 2 means you define two different weekly patterns that alternate — Week 1 then Week 2 then Week 1 again. This is how you handle rotating schedules. Maximum is 4 weeks.

e.g.Set to 2 for a staff member who works Mon–Fri one week, then only Mon–Wed the next.

Starts

The first day shifts are generated from

All shifts are calculated forward from this date. For multi-week cycles, this date anchors which calendar week is Week 1 — every week after counts off from here to determine the correct pattern.

e.g.If your cycle is every 2 weeks and you start June 16, then that week = Week 1, June 23 = Week 2, June 30 = Week 1 again, and so on.

Ends — On date

No shifts are created past a specific end date

Shifts are generated from the start date up to and including the end date. Nothing beyond that date is scheduled. The end date cannot be before the start date — if you move the start date later, the end date automatically advances to stay at least 30 days ahead.

e.g.A summer hire who starts June 1 and finishes August 31.

Ends — After

Stops once a fixed number of shifts have been created

Enter a number and the system creates exactly that many shift records then stops. Each day the member is scheduled to work counts as one shift. Useful when you know the exact number of shifts needed without having to calculate an end date.

e.g.A contractor hired for exactly 30 shifts — enter 30 and scheduling stops automatically once they're created.

Send schedule on

Which day of the week the member receives their schedule

Pick a day of the week — Sunday through Saturday — and the system will notify the team member on that day. If no day is selected, the confirmation is sent immediately when you save.

e.g.Select Monday so the team member gets a fresh look at their upcoming week every Monday.

Locations

Configure schedules per location when a member works at multiple sites

If the team member is only assigned to one location, their schedule is set for that location automatically — no selection needed. If they work across multiple locations, a location dropdown appears in each week's header in the working hours grid. Each week can be assigned to a different location independently.

e.g.Week 1 = Downtown: Mon–Fri. Week 2 = Uptown: Mon–Wed. All saved in one action.

The days and times for each week in the cycle

The right panel shows one grid per week in the cycle. Check the days the member works and set start and end times. You can add multiple blocks per day for split shifts. Unchecked days are off and won't generate shifts.

e.g.Monday 9:00 AM – 1:00 PM, then + Add shift for 2:00 PM – 5:00 PM to create a split shift day.

The “What gets scheduled” preview

Once you've set a start date and an end condition, a preview card appears in the left panel:

Total shifts

The exact number of shift records that will be created.

Date range

The first and last date in the generated window.

Hours/week

Total working hours across the active days in the Week 1 pattern.

Starting with

The first three actual shift dates and their times — proof the pattern is correct before you commit.

Multi-week rotating cycles

When you set Repeat every to 2, 3, or 4 weeks, a separate working hours grid appears for each week. Each grid is independent — different days, hours, and locations per week.

The start date anchors which week is first

For a 2-week cycle starting June 16: the week of June 16 = Week 1, June 23 = Week 2, June 30 = Week 1 again. Changing the start date shifts the entire cycle.

Saving adds shifts on top of existing ones

Repeating shifts are added from the start date forward. Manually created shifts that overlap will remain — review the schedule after saving to catch duplicates.

Tips

Check the preview before saving

The shift count and date range preview confirms exactly what you're committing to — especially important for multi-week cycles where the start date matters.

Use split shifts for meal breaks

Click + Add shift on any day to add a second time block for a morning and afternoon block with a break in between.

Use After for contract work

If you've agreed to a fixed number of shifts, use "After" instead of an end date — it's more precise and eliminates the need to calculate dates yourself.

Closed periods are automatically respected

Shifts that fall on organization-wide closed periods are skipped automatically. No manual adjustments needed.
